EC inspectors’ working policy

As a professional third-party inspection agency, it is important to follow various inspection rules. That’s why EC will now provide you with these tips. Details are as follows:
1. Check the order to know what goods need to be inspected and what are the main aspects to keep in mind.

2. If the factory is in a remote location or in need of urgent services, the inspector should thoroughly write on the inspection report the order number, the number of items, the content of the shipping marks, the mixing container assembly, etc. In order to get the order and check it, bring the sample(s) back to the Company for confirmation.

3. Contact the factory in advance to grasp the real situation of the goods and avoid coming back empty-handed. If this occurs, you should write down the incident on the report and check the actual production situation of the factory.

4. If the factory mixes empty cardboard boxes with the boxes from already finished goods, it is clearly deceitful. As such, you should write the incident down on the report in great detail.

5. The number of critical, major or minor defects must be within the range accepted by AQL. If the number of defective components is on the verge of acceptance or rejection, please expand the sampling size to get a more reasonable rate. If you hesitate between acceptance and rejection, escalate it to the Company.

6. Take into account the specifics of the order and the basic requirements for inspection. Please check transportation boxes, shipping marks, exterior dimensions of the boxes, the quality and strength of the cardboard, the Universal Product Code and the product itself.

7. The inspection of transportation boxes should include at least 2 to 4 boxes, especially for ceramics, glass and other fragile products.

8. The quality inspector should put himself/herself in the position of the consumer in order to determine what kind of testing needs to be done.

9. If the same issue is repeatedly found throughout the inspection process, please do not focus on that one point ignoring the rest. In general, your inspection should include all aspects related to size, specifications, appearance, performance, structure, assembly, safety, properties and other features and applicable tests.

10. If you are doing a during production inspection, apart from the quality elements listed above, you should also pay attention to the production line so as to assess the factory’s production capacity. This will enable earlier detection of the issues regarding delivery time and product quality. Please don’t forget that the standards and requirements related to during production inspections should be followed strictly.

11. Once the inspection is completed, fill out the inspection report accurately and in detail. The report should be clearly written. Before the factory signs it, you should explain to them the content of the report, the standards our company follows, your final judgment, etc. This explanation should be clear, fair, firm and polite. If the factory has a different opinion, they can write it down on the report and, no matter what, you should not quarrel with the factory.

12. If the inspection report is not accepted, immediately send it to the Company.

13. Please state on the report if the drop test fails and which modifications could the factory implement to strengthen their packaging. If the factory is required to rework their products due to quality issues, the re-inspection date should be stated on the report and the factory should confirm it and sign the report.

14. QC should contact both the company and the factory by phone once a day before departure since there might be some last-minute incidents or changes in the itinerary. Every QC employee must strictly abide by this condition, especially those who travel further.

15. For products that customers require with shipping samples, you must write on the samples: order number, number of items, name of the factory, inspection date, name of QC employee, etc. If samples are too big or too heavy, they can be directly shipped out by the factory. If samples are not returned, specify the reason on the report.

16. We always ask factories to cooperate properly and reasonably with QC work, which is reflected in their active participation in our inspection process. Please remember that factories and inspectors are in a cooperative relationship and not in a relationship based on superiors and subordinates. Unreasonable requirements that would have a negative impact on the Company should not be put forward.

17. The inspector must take accountability for their own actions, without forgetting about their dignity and integrity.
